Team Tools

There are a number of features available for team collaboration in the Portfolio

Team Editing

If you are on a team with multiple users, you will have access to your teammates' saved maps in your own portfolio, and they will have access to your saved maps. The default is allowing anyone to edit these maps, but you can edit your maps so that only you can edit them. 

If you are able to edit another user’s maps, you can open the map, add/remove selections, edit or delete the map, change the status in any portfolio columns, and more.

If you are unable to edit another user’s map, you can still view the map (in preview mode only), duplicate the map, export reports or downloads, and leave comments.

Leave A Comment on a Map

Comments allow you to collaborate with your team directly within a map, with optional tagging and location pinning. Read on to learn the three ways to access and leave comments, and how to tag a location.

Tip: Use @ to tag a teammate. (They’ll receive a notification and email.)

Access & Add a Comment from the Portfolio

  1. Open the Portfolio.
  2. Locate the Comments column for a saved map.
    1. If there are already comments on that map, you will see a chatbox icon with the number of comments.
    2. If there are no comments on that map, it will be blank but a plus (+) icon will appear on hover.
  3. To read existing comments and/or write a reply, click the chatbox icon.
    To add a new comment, click the plus (+) icon..
    Either way, a comment window will appear and you can add a comment at the bottom of that window.
  4. Type your comment and click Send.

  1. From the portfolio, click on a saved map to open the map preview window.
  2. View any existing comments on the right side.
  3. Type your comment and click Send.

Access & Add a Comment from an Open Map

  1. Open a map by going to your portfolio and either clicking the overflow menu (three dot icon) or opening the preview window and clicking Open Map.
  2. Find the Comments section at the top of the selections panel.
  3. Click to open the comments window.
  4. Type your comment and click Send.

Attach a Comment to a Specific Location

  1. With the comment window open from any location, click the location pin icon to the right of the Add a comment text box.
  2. Click directly on the map to place the pin.
    Note: Location pins can be edited or removed later if needed.
  3. Type your comment and click Send.
  4. To edit the location of the pin, simply find the pin on the map and click and drag, dropping it at the new location.

Note: Your own comments can always be edited or deleted after being sent. You cannot edit or delete a teammate’s comments.

 

Check Your Notifications

Notifications keep you informed when teammates comment on or tag you in maps.

View Notifications

  1. Click the Notifications icon in the app.
  2. Unread notifications will be highlighted, with the most recent at the top.
  3. Click any notification to view its details.

Review and Respond to a Notification

  1. Click a notification to open the related map preview window.
  2. Review the comment and map details.
  3. Respond directly from the comment panel, or click Open Map for full context.

Manage Map Notifications

  1. From the map preview window, locate the map options at the top.
  2. Toggle notifications on or off for that specific map if needed.

To update your email notifications, click the Notifications icon on the bottom of the left-hand navigation bar, click the Settings icon, then select or unselect the Saved Map Updated checkbox. 

Add People to a Custom Column

Add custom columns to your portfolio, including a People column. This option provides a way to add a member or multiple members of your team to this custom field. The best option for assigning teammates to certain maps, designate the primary contact, and more.
